Job Description.
The Kidney Institute of New Mexico is seeking a dynamic, detail-oriented, results-driven individual to join our team as an Program Manager to execute its mission (i.e., to provide advances and discoveries that directly promote the health of New Mexicans with kidney disease). Funded by the Dialysis Clinic, Inc.—a non-profit corporation— and under the auspices of the Executive Vice Chancellor of the University of New Mexico Health Sciences Center, the Kidney Institute of New Mexico conduct quality science relevant to the patients afflicted with kidney disease in the state. The information derived will provide something of value concerning the pathogenesis of progressive renal insufficiency and end-stage renal disease and the subsequent collateral damage. The cardiorenal diseases that afflict our populations will be addressed as a corollary. We will be able to apply our discoveries to cardiorenal and cardiovascular disease.
Specific duties are listed below:
1. Manages and oversees the administrative and daily operations of special programs for the Kidney Institute of New Mexico, some of which may have University-wide impact
2. Oversees the supervision of the day-to-day activities of the Kidney Institute of New Mexico administrative support staff, to include management and training, scheduling and prioritizing work assignments, and implementation of effective operating policies, procedures, and systems.
3. Designs, develops, gathers, investigates, researches, analyzes, and/or studies information affecting University-wide, intradepartmental, or interdepartmental operations/programs relevant to the Kidney Institute of New Mexico
4. Manages contract, grant, and/or state funding; monitors budget expenditures, establishes or recommends budget allocations for the Kidney Institute of New Mexico and reviews revised and final budgets; may coordinate the budget processes for one or more other internal or external organizational entities, as specifically assigned. May negotiate and administer contracts and/or agreements regarding the Kidney Institute of New Mexico.
5. Provides professional coordination and leadership on any matter directed to the Kidney Institute of New Mexico by University and community constituencies; independently researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response. Receives, screens, evaluates, and determines appropriate response to all written correspondence received by the Kidney Institute of New Mexico; independently formulates and disseminates written responses as appropriate.
6. Participates in the development of annual operating budgets and provides fiscal direction to the Kidney Institutes of New Mexico. KINM has over a 2 million dollar budget and is expected to receive another million every year for the next 4 years.
7. Develop, plans and implements strategies for identifying and generating funding and/or resource opportunities for KINM program activities, to include development of grant and other fund-raising proposals.
8. Oversees and coordinates, complex data acquisition, and compilation of analysis in support of projects being administered by KINM; develop, write, edit, and present comprehensive program reports and evaluations.
9. Oversees the planning and coordination of key special events for the Kidney Institute of New Mexico. This includes assisting, producing, developing, advertising the special events for the KINM.
10. Assists in establishing and implementing short- and long-range goals, objectives, policies, and operating procedures for the Kidney Institute of New Mexico.
11. Collaborates with university departments, programs, projects, local and state school systems, and/or community organization to consolidate resources and enhance programs. Utilizes current knowledge of the field to enhance communications and understanding of the KINM program projects among the targeted community. Represents the Kidney Institute of New Mexico in various committees and professional organizations
12. Develops or provides assistance in the understanding and interpretation of University policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards..
13. Performs miscellaneous job-related duties as assigned within the Kidney Institute of New Mexico.
Required Qualifications.
High school diploma or GED; at least 6 years of experience 2 of which are management level experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications.
Medical administrative assistant diploma.
Five or more years affiliation with the American Society of Nephrology
Ten years or more experience in a department of medicine
Service as an administrative contact in an academic medicine department
Experience with day-to-day operations of a divisional program
Experience with audio and visual equipment
Experience with arranging catering for meetings, conferences, and/or events
Knowledge of continuing medical education credentialing and guidelines for conferences
Experience with arranging interviews and itineraries for Ph.D. and physician faculty candidates
Preferable, but not required skills (could pursue additional training while on the job)
Skill in budget preparation and fiscal management.
Knowledge of procurement rules and regulations.
Ability to train administrative staff
Familiarity with use of procurement (pro) cards and reconciliation
Assistance with faculty member travel and reimbursement
Experience with listservs, email lists for conferences and meetings
Knowledge of contracts and grants preparation and management.
Knowledge of human resources administration principles and practices.
