Job Description.
Provide administrative support for the Appropriation Division Director and the Appropriation Division (Division) staff consisting of 22 professionals and 6 technicians, and the Executive Officer and consultant of the Board of Water Well Contractors (Board). Plan, develop, create, implement, and maintain office procedures for managing the workflow of the Division and Board. Compose and prepare correspondence and documents of an official nature; coordinate staff input to correspondence. Collect and manage information obtained from the public according to state laws, rules, and standard operating procedures. Develop and prepare meeting agendas and materials for the executive officer, board members, and consultant for the board of water well contractors. Decipher pertinent information from well logs submitted by certified water well contractors and store in a well log database. Scan and store well driller logs into a publically accessible database. Maintain all of the records and correspondence files related to the Division and Board. Establish methods, processes, and procedures to collect, scan, and store a variety of water resource and water permit related data from various sources; compile data into reports, spreadsheets, databases, and file documents for use by the staff and public into publically accessible databases. Establish and maintain Division and Board records that include determining records retention schedules recognizing legal, archival, and administrative value of records; establish records handling and control procedures; oversee records purges. Assist with gathering budget and accounting-related data for unit budget development of the Division and Board. Participate in the training of Division staff in technical and office-related procedures; advise on the assignment of work activities to other Divisional staff; monitor work performance and provide input to performance evaluations of the Board consultant. Transcribe Board minutes and Divisional hearing minutes as needed. Answer and direct incoming phone calls from 8 am to 5 pm for the Division and Board. Assist walk-in traffic on administrative details of temporary and conditional water permit applications, annual water use forms, or well contractor certification. Participate in a call center with other agency staff to answer and direct incoming phone calls to agency personnel. Distribute mail.
Required Qualifications.
Associate degree with major coursework in office business, legal, support, or business, or office education, and one year of work experience performing a variety of office support, clerical or secretarial work. Equivalent experience may substitute for a degree.
Proficient in Word and familiar with Excel.
Excellent written and verbal communication skills, interpersonal skills, organizational skills, and time management.
