Job Description.

General Description The Outreach Director plays a critical role in advancing the mission of Downeast Coastal Conservancy by employing his/her leadership, knowledge and experience to sustain or expand our connections with the people and communities we serve. Principal tasks include office administration, communicating with members, recruiting new members, maintaining the membership database, leading public events such as hikes or paddles, sharing information with the public and press, and coordinating events. This is a full-time salaried position which occasionally will require evening and weekend work. Supervision The Executive Director supervises the Outreach Director, assigns all tasks, and approves all expenditures related to the work of the position. The Outreach Director will perform the following duties. Membership Services and Public Communications Coordination: Prepare and distribute communications to the Downeast Coastal Conservancy’s (DCC) members, including information letters, invitations to events, fundraising solicitations, event promotions, informational e-mails and social media communications; Maintain the Land Trust website; Respond to telephone and email queries about the Land Trust; Prepare and distribute the newsletter and annual report in consultation with the Executive Director. Prepare and distribute press releases and other information to the media and participate in interviews when appropriate; Deliver presentations to other organizations and agencies or public groups when appropriate; Participate in outreach events such as business fairs, workshops, etc.; and Manage social media sites. Membership Database Maintenance: Enter and update member contact, donation, and information data and produce reports and analyses of this data; and Prepare acknowledgement letters, mailing labels, lists, and other output from the membership database. Event and Outreach Management (including the Annual Meeting & Picnic, outings, educational programs, press conferences, donor cultivation gatherings, regional membership meetings, event tabling, school or college classes, after school programs, summer camps, etc.): Set annual calendar of events in coordination with staff, Outreach Committee, and Board and other area groups; Serve as staff liaison to the Outreach Committee; Collaborate with other nonprofits, schools, camps, etc. in support of DCC’s mission; Prepare event budgets; Coordinate event logistics such as site arrangement and promotional materials; Lead events; Create and manage publicity for events through email, social media, press releases, etc.; Manage event participants and volunteers; and Prepare reports on outcomes of events. Volunteer Coordination: Assist other staff and committees in obtaining the services of volunteers for specific activities; Plan and coordinate volunteer appreciation events and other volunteer recognition with other DCC staff and board; Supervise/manage volunteers for outreach/events and office tasks; and Supervision/management of interns is a possibility. Administrative Services: Respond to telephone calls and email queries (direct these to other staff as necessary); Greet visitors to the office and provide requested information; Manage incoming and outgoing mail and route mail to the appropriate staff person; Maintain and improve the administrative filing system; Prepare bank deposits of contributions, payments, and other income; Categorize expense receipts for the bookkeeper; Process sales, fill orders, generate sales receipts; Order, with approval of the Executive Director, office and facility supplies and equipment necessary for the Land Trust; Coordinate equipment maintenance and cleaning services for the office; Coordinate with the bookkeeper and Executive Director concerning tasks such as the annual audit by the accountants, pledge spreadsheets, sales taxes, and any necessary employee and independent contractor forms and paperwork as required; Assist staff, Board, and committees to apply for and maintain Land Trust Alliance accreditation; Manage bulk mailings; Create and print stock of preserve brochures for use in office, at trail heads and for events; and Coordinate payroll. Other Duties: perform other tasks as assigned by the Executive Director. Every effort has been made to make this description of duties complete. However, these may not be the only required work functions. The omission of other tasks does not exclude them from the job duties if the work required is similar, related to, or necessary for fulfilling the scope of work.

Required Qualifications.

Willingness to take the lead on projects and tasks and see them through to completion;
Motivation to inspire a love of nature in others in support of DCC’s mission;
Well-organized work style and capability to conduct multiple tasks concurrently and meet deadlines;
Experience with and/or ability to learn computer software, including GiftWorks, Constant Contact, MS Word, MS Excel, MS Access, Adobe InDesign, Quickbooks, and other software used in this position;
Experience with graphic design to create effective posters and outreach materials;
Pleasant personality featuring tact, patience, diplomacy, flexibility, and helpfulness;
Initiative in recognizing needs for the efficient and effective operation of the Land Trust;
Articulate in public and an excellent writer;
Event management skills;
Capacity for creative and innovative thinking;
Rigorous standards of discretion and confidentiality necessary concerning the personal and financial information held by the Land Trust;
Working knowledge of the issues important to the mission of the Land Trust;
Interest in the success of the Land Trust in meeting its goals;
Valid vehicle driver's license and personal vehicle with proof of insurance;
Bachelor’s Degree or experience commensurate with the needs of the position;
Ability to lead hikes and paddles in varying terrain and weather conditions; and
Ability to lift and carry 40 lbs.
